Preview Fax Broadcast With Mail Merge Fields
Broadcast faxing involves sending information to an extensive list of contacts. Any errors, layout inconsistencies, or visible placeholders could stain the sender’s reputation. Previewing fax broadcasts consisting of mail merge fields helps your business avoid the embarrassment of faxing documents with truncated texts or awkward formatting.
Updating to iFax Web 7.18 makes previewing broadcast faxes with mail merge fields possible. Note that mail merge field previews will automatically display the data from the first recipient in the broadcast list selected.
Here’s how to preview fax broadcasts with custom mail merge fields before sending:
- On the iFax dashboard, click New Fax and choose to send to Broadcast Lists. You can select from your existing list or create a new list by importing contacts.
- Upload or attach a new document.
- On Edit View, choose from the existing Mail Merge Fields options or click Add Fields from a Broadcast List.
- Select your desired lists, and check the boxes next to the fields you want to include.
- Drag and place the mail merge fields you want to include in your document.
- Click Preview Fax at the bottom-right of the edit window.
Previewing lets you see whether format, layout, or positioning issues exist. You can make the adjustments needed before clicking Save.
Track Fax Broadcast Progress Better
The latest update on the fax broadcast details page shows a more intuitive way of viewing and tracking the progress of broadcasted faxes.
Now, you can see three new views displaying the total count and percentages for:
- Sending
- Delivered
- Failed
Smarter Faxing With Batch Control and Retry Logic
Achieve better control and flexibility in high-volume fax operations. iFax Web’s latest release ensures efficient and reliable transmission of faxes, especially for those in healthcare and other fax-dependent industries.
Retry Logic
- Set Retry Interval: Define the time (in seconds) between retries when a fax fails.
- Set Maximum Attempts: Specify the maximum number of retry attempts for a failed fax.
- Enable/Disable Retry for Undetected Fax Lines: Choose “Yes” to retry if the fax line isn’t detected or “No” to skip retries in such cases.
Use Case: For healthcare providers sending critical faxes (e.g., prescriptions or test results), retry logic ensures delivery even if the recipient’s line is temporarily unavailable.
Batch Faxing
- Set Time Delay: Introduce a delay (in minutes) between each batch to avoid overloading recipient lines.
- Define Batch Size: Specify the number of faxes per batch to control the sending pace.
Use Case: A medical office sending appointment reminders can set a delay to prevent simultaneous receipt, ensuring patients are notified at manageable intervals.
Fax Automation Updates: New IF and THEN Functions
Automate specific fax actions with these newly added IF and THEN functions:
- IF Function: Delivered – Automate actions based on the “Delivered” fax status, such as organizing delivered prescription requests into the “Pharmacy” folder for easy follow-up.
- THEN Function: Mark as Done – Set faxes to “Done” each time the IF condition is met, such as when a fax with a specific subject like “Surgery Schedule” is delivered. Automate the task of marking it as “Done” after being reviewed.
Automated Scheduled Usage Reports
Save time and ensure consistency by automating scheduled usage reports at different frequencies: daily, weekly, and monthly. Select which fax numbers to include, directions for fax (outbound or inbound), and the email address(es) where to send the reports.
Instead of extracting usage reports manually, automation helps minimize the administrative burden. It also ensures timely decisions based on the latest available data.
Updates on Dashboard and Other Views
iFax Web 7.18 also includes changes to the Fax Dashboard and other views that would make managing outgoing and incoming faxes easier.
“Retries” filter on dashboard statuses and automation views
Filter faxes with specific retry counts and set an automation rule based on retries.
New “Manage Column” values in the dashboard and fax history
Once checked, the new column values for “Time Started, Time Completed, and Transmission Time” will appear in the table on the Dashboard.
Note that the newly added column filters do not appear in the ‘Draft,’ ‘Scheduled,’ ‘All Documents,’ and ‘Trash’ tabs. However, these filter column options will appear in all other tabs.
Additionally, these new column options will be visible on the Fax History page for reports. You can also include these column values when extracting the reports.
Fax Forwarding For Faxes Sent via API
